7 Steps to Prepare for Your Remote Online Notarization

Remote online notarization offers unparalleled convenience and efficiency. It caters to individuals who are unable to visit a notary in person due to geographic constraints or time limitations. Additionally, RON ensures enhanced security through digital encryption, reducing the risk of document tampering. So if you’re ready to book an online notary appointment, here’s what you need to know.

Step 1: Book Your Appointment

To begin your remote online notarization journey, the first step is to book an appointment with your notary. This flexibility allows you to select a date and time that fits your schedule. You can do this by calling, emailing or utilizing our online booking system to streamline this process.
Upon booking your appointment, you will receive a confirmation email containing all the necessary details, including a link for the video conference. Ensure you check your email promptly to confirm the details and add the appointment to your calendar.
You will also receive a follow-up email reminding you of the following requirements:

  • Government-issued photo ID
  • DO NOT sign the document before your appointment
  • A device suitable for video conferencing, such as a laptop or cell phone is needed

Step 2: Prepare Your Documents

Preparing your documents in advance ensures that the notarization process goes smoothly. Review all forms and fill in the necessary information. However, it is crucial that you do not sign the documents before your appointment. The notary must witness your signature during the video conference.

Step 3: Verify Your Identity

Identity verification is a critical component of remote online notarization. It is best to prepare your identification documents in advance. Acceptable forms typically include a driver’s license, passport, or provincial-issued ID. Ensure that these documents are current and that the information matches the details on the documents to be notarized.

Step 4: Meet with Your Notary Online

Your appointment will take place via a secure video conference platform such as Zoom. Ensure you have a quiet, well-lit space for the meeting. The notary will ask to see your government-issued photo ID, verify your knowledge and awareness of the document, and proceed with the signing process. Follow their instructions carefully to ensure the process is completed correctly.

Step 5: Sign Your Document

If you have a physical copy of the document, your notary will witness you sign with a pen. Once signed, you will need to use a scanner or scanning app to scan the document and email it for notarization. If you do not have a scanner, you can take a photo of the document; however, this is not recommended due to the sometimes poor document quality.


If you have a digital copy of the document, your notary will witness you sign the document electronically and request that you email this signed copy for notarization.

Step 6: Pay for Your Service

After the notarization process, you will receive an invoice via email. You can choose to pay using an encrypted and secure payment gateway or by using eTransfer (instructions provided). Ensure prompt payment to avoid delays in receiving your notarized documents.

Step 7: Get Your Notarized Documents

Upon confirmation of payment, your notarized documents will be emailed to you without delay. Make sure to download and save these documents securely. If needed, print a hard copy for your records.
Original hard copies of the notarized document can also be provided via courier delivery.
