Hello !! Welcome to Notable Notary

It’s a question that comes up often, especially when people are buying property in another province, relocating for work, or managing affairs from a distance. Can the notary in your Ontario city notarize a document that’s going to be used in British Columbia, Alberta, or Quebec?

The answer is yes, with some important context.

How Notarial Authority Works Across Provinces

A notary public in Ontario is commissioned under Ontario law, but Canadian notarization is generally recognized across the country for most purposes. When an Ontario notary certifies a signature or a true copy, that certification carries weight in other provinces in the same way that a bank notarization does, it confirms the authenticity of the document.

For most inter-provincial situations, employment documents, personal declarations, certified copies of IDs, an Ontario notarization is perfectly sufficient.

Where It Gets More Complicated

Some provinces have specific requirements for certain documents. Quebec, for instance, has a distinct civil law system and uses notaries in a different legal capacity than other provinces. Real estate transactions in certain provinces may require a local notary or lawyer. And some institutions,  particularly provincial courts or government bodies,  may specify that documents must be notarized locally.

If you’re unsure whether an Ontario notarization will be accepted, the safest step is to contact the receiving institution directly and ask before booking.

What About Documents for Use Federally?

Federal institutions including IRCC, Service Canada, and the Canada Revenue Agency accept notarizations from any province. If your document is going to a federal body, your Ontario notary can handle it without any complications.
