We only collect data that helps us achieve the purpose set out in this Policy. We will not collect additional data beyond what is listed below without notifying you first. Depending on the service you use, this may include:
This data may be collected when you create an account, process a payment, book an appointment, use our notarization services (in-person or online), submit an apostille or translation order, use a Remote Online Notarization platform, or communicate with us by email.
We will not sell or share your data with other third parties, except in the following cases: if the law requires it, if it is required for any legal proceeding, to prove or protect our legal rights, or to buyers or potential buyers of this company in the event of a sale.
We use trusted third-party service providers to operate our business, including payment processors, analytics tools, scheduling systems, and Remote Online Notary/video conferencing platforms. When you submit an apostille order, your document is shared with Ontario's Official Document Services (ODS) as required to complete the apostille. When you submit a translation order, your document is shared with our certified translation partner as required to complete the translation. These providers are contractually obligated to protect your data and are prohibited from using it for unauthorized purposes.
If you follow hyperlinks from our Site to another site, we are not responsible for their privacy policies and practices.
We do not share mobile phone information with third parties for marketing purposes. Mobile numbers collected for appointment reminders, order status updates, verification, or other transactional purposes are used solely for those intended functions.
We retain user data for at least six months or as long as necessary to fulfill legal, regulatory, and operational requirements. Once data is no longer required, we securely delete or anonymize it unless required by law to retain it. For Remote Online Notarization, video recordings and transaction logs may be retained for up to 10 years in compliance with regulatory requirements.
